This privacy policy explains how DigitalBot collects and uses your personal information when you visit digitalbot.co.uk or contact us, and the rights you have over that information.

1. Who we are

This website is run by DigitalBot Technologies Limited (trading as DigitalBot UK), a company registered in England and Wales under company number 16965686. We are the controller of the personal information described in this policy.

2. Information we collect

  • Enquiries through our contact form: your name, email address, phone number and the message you send us.
  • When you contact us by WhatsApp, phone or email: your name, phone number or email address, and the content of your messages.
  • Blog comments: the name, email address and comment you submit, your IP address, and a hashed version of your email address, which is sent to the Gravatar service to show your profile picture.
  • Website usage data, only if you accept statistics cookies: the pages you visit, how you arrived at our site, your approximate location (country or city), device and browser type, and which buttons you click (for example our WhatsApp button). We collect this with Google Analytics.
  • Technical data: our hosting provider automatically records your IP address, browser type and the pages requested, to keep the website secure and working.

We do not ask for, and ask you not to send us, sensitive information such as health data.

3. How we use your information and our lawful basis

  • To reply to your enquiry and give you a proposal or quote. Lawful basis: taking steps at your request before entering into a contract, and our legitimate interest in responding to people who contact us.
  • To provide our services if you become a client, including communication, reporting and invoicing. Lawful basis: performance of our contract with you, and legal obligations such as tax and accounting records.
  • To understand how our website is used and improve it. Lawful basis: your consent, given through our cookie banner. You can withdraw it at any time.
  • To keep our website secure and prevent spam or misuse. Lawful basis: our legitimate interest in protecting our website and business.
  • To send you marketing emails. We only do this if you have asked to receive them, and you can unsubscribe at any time.

4. Cookies

We use strictly necessary cookies to make the website work. We only use statistics cookies (Google Analytics) and load embedded content such as YouTube videos and Google Maps after you give consent through our cookie banner. Full details are in our Cookie Policy, and you can change your choice at any time using the “Manage consent” option on the website.

5. Who we share your information with

We do not sell your personal information. We only share it with trusted service providers who help us run our business, and only as far as they need it:

  • Hostinger: website hosting and email delivery.
  • Google: Google Analytics (if you consent), and YouTube and Google Maps (if you choose to view embedded content).
  • WhatsApp / Meta: if you choose to contact us on WhatsApp.
  • Automattic (Gravatar): if you post a blog comment.
  • Professional advisers, such as our accountants, and authorities where the law requires us to.

6. International transfers

Some of these providers, such as Google and Meta, may process data outside the UK, including in the United States. Where this happens, the transfer is protected by UK adequacy regulations (including the UK–US data bridge) or by the UK International Data Transfer Agreement or Addendum.

7. How long we keep your information

  • Enquiries that do not lead to work: up to 2 years after our last contact with you.
  • Client records: for the length of our contract, then 6 years to meet tax and legal requirements.
  • Google Analytics data: up to 14 months, after which it is deleted automatically.
  • Blog comments: for as long as the comment is published.

8. Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct information that is wrong or incomplete;
  • ask us to delete your information;
  • ask us to restrict or stop using your information, or object to how we use it;
  • ask us to transfer your information to another organisation;
  • withdraw your consent at any time, where we rely on consent.

To use any of these rights, email sales@digitalbot.co.uk. We will respond within one month. There is normally no charge.

9. How to complain

If you are unhappy with how we have handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or by calling 0303 123 1113.

10. Security

Our website uses an encrypted (HTTPS) connection, and we limit access to personal information to the people who need it. No method of sending data over the internet is completely secure, but we take reasonable steps to protect your information.

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top.
